The Task
The agency was tasked with the comprehensive «turnkey» organization of a large-scale socio-political event — the presentation of the Special Report of the Commissioner of the Verkhovna Rada of Ukraine for Human Rights entitled *“Local IDP Support Programs: Effectiveness Analysis and Future Prospects.”*
A critical requirement of the client was to ensure a high organizational and protocol standard for the event through the participation of key speakers and high-ranking representatives. The agency was responsible for managing the full scope of technical, coordination, and logistical tasks for the offline audience while simultaneously supporting a large number of online participants (up to 100 attendees on-site and 900 online).
Event Organization
Within the framework of the project implementation, the agency’s team introduced the following solutions:
- Venue Administration and Conference Services: full preparation of the conference hall at the «Hilton» Hotel, management of catering areas for participants, and coordination of official delegation arrivals.
- Protocol Support: engagement of a professional official event moderator to ensure strict management of panel discussions and compliance with the speaking schedule for representatives of ministries and international organizations.
- Hybrid Infrastructure: deployment of a two-way communication system for online conference broadcasting via the Zoom platform, enabling participation of 900 remote attendees. A simultaneous interpretation system was also integrated for foreign diplomats and representatives of the UN mission.
- Technical and Material Support: preparation of printed materials for expert work, professional video recording of the event, and full technical support provided by the engineering team.
Project Features and Challenges
The status and scale of the event required precise hourly planning and elimination of all potential technical risks during the preparation stage:
- Tight Setup Schedule: all installation works were carried out within a limited timeframe on the eve of the event. The agency’s technical specialists worked a night shift to complete the stage setup, installation of audio and interpretation systems, and placement of branded elements and banners. This allowed the team to begin morning testing of equipment and broadcasting channels well before the arrival of the first guests.
- Centralized Management: the presence of a dedicated project manager on the event day ensured prompt resolution of operational tasks in real time and seamless coordination between the hotel services, moderator, and broadcasting technical team.
The Result
The conference was held in strict accordance with the approved protocol and timeline. The integration of the online platform ensured a stable connection for 900 attendees without any loss of communication or audio quality. The client positively evaluated the level of preparation, the agency’s management expertise, and the coordinated work of the engaged contractors, which enabled the presentation of the Ombudsman’s Special Report at a high corporate and governmental level.
