The Task

The client requested the organization of a business trip for a group of 16 top managers to the Cognac region (France). The main priority was to create the most comfortable logistics possible, taking into account high standards of service.

When planning the itinerary, special attention was paid to the absence of night travel, minimizing travel time, and ensuring a comfortable pace for the journey. It was crucial to organize the route in such a way that participants arrived at all meetings well-rested and could fully focus on the visit’s program.

Project Features and Challenges

The project required comprehensive coordination of a large number of logistical processes.

One of the main features was ensuring a premium level of service at all stages of the journey — from individually selected transfers to accommodation in high-end boutique hotels.

An additional challenge was that most authentic boutique hotels in the Cognac region are not listed in global booking systems, so searching for them, checking availability, and securing confirmations had to be done directly with the accommodation properties.

The intensive meeting schedule required a detailed breakdown of each stage of the itinerary. The timing of flights, ground transfers, hotel check-ins, and travel between cities and business meeting locations were completely synchronized. Special attention was paid to precise timing, as even minor delays could affect the execution of the entire program.

A separate challenge was organizing premium service in small towns across the region, where the infrastructure for serving corporate groups is limited. This required careful selection of local partners and vehicles, as well as the coordination of all services to meet the client’s high standards.

The Result

As a result, a comprehensive turnkey organization of the business trip was successfully executed. For the group of 16 participants, comfortable logistics were provided without night travel, premium transfers were selected, accommodation was arranged in boutique hotels characteristic of the region, and seamless coordination of all itinerary stages was ensured.

Thanks to detailed planning, the approved timing was fully maintained, the business meeting program was completed without any schedule changes, and a high level of service was delivered in line with the client’s expectations. The project became an example of effective international business travel organization, where every single logistical element was thought out to the smallest detail.
