The Task
The agency was tasked with the comprehensive organization of a large-scale expert event in a turnkey format. The client’s main requirements included providing logistical, coordination, and full technical support for the conference. All processes — from welcoming and accommodating international and Ukrainian delegates to broadcasting presentations in real time — had to operate as a single coordinated mechanism, meeting the high standards and status of the international organization.
The project implementation covered the full cycle of management, administration, and technical support. The agency team provided the following service areas:
- Logistics and service: coordination of participant arrivals, organization of transfers, booking, and prompt accommodation of delegates at the hotel.
- Conference service: preparation of conference halls, timeline management, and catering services (coffee breaks, lunches).
- Technical equipment: installation of sound and lighting systems, stage setup, and launch of a high-resolution LED screen for effective presentation of visual materials.
- Branding and media: installation of branded structures, production of printed materials for participants, as well as complete photo and video coverage of the event.
Project features and challenges
The specifics of the forum required maximum flexibility and efficient process management due to several complex tasks:
- Tight preparation deadlines: the stage setup, large-scale branding structures, and equipment installation were completed within extremely limited timeframes on the eve of the forum.
- Barrier-free communication: the international status of the event required the integration of a simultaneous interpretation system. The technical team installed specialized interpreter booths and provided participants with individual receivers.
- Hybrid format: alongside the offline event, a seamless online broadcast was organized for remote attendees, requiring a stable internet connection and multi-camera production with live directing.
- Additional media content: on the day of the event, an agency representative conducted a series of short interviews with speakers to create final video materials promptly.
- Crisis management: the presence of a dedicated project manager at the venue ensured the rapid resolution of ongoing organizational and technical issues in real time.
The Result
The project was successfully implemented in full accordance with the approved timeline and the client’s technical requirements. Effective coordination of contractors allowed the optimization of logistics for 120 participants and ensured the stable operation of the broadcast system and simultaneous interpretation services. The Ukrainian Red Cross highlighted the high quality of work provided by the involved specialists, the agency’s systematic approach to project management, and the reliability in fulfilling all commitments.
