The Task
The agency was tasked with the comprehensive «turnkey» organization of a closed business event dedicated to Ukraine’s economic recovery. The project’s complexity was defined by the high-profile status and diverse composition of participants: the event brought together representatives of government institutions (Ministry of Economy, Ministry of Education, Ministry of Veterans Affairs), major businesses (Volvo, Nova Poshta, Scania, Astarta), business associations (AmCham, EBA), as well as international donors and organizations (World Bank, EU Delegation, Embassy of Switzerland, Sida)
The event management team was required to create a flawless protocol environment to support the client’s key business objectives: validating market systems analysis, aligning priorities for RECONOMY programme pilot initiatives, and documenting the next steps of cooperation among all stakeholders
Event Organization
Comprehensive event delivery included venue preparation, technical, linguistic, and informational support. The project was implemented through the following solutions:
- Conference Services and Catering: venue zoning to ensure an equal and effective discussion environment, along with catering organization aligned with the business agenda and event schedule.
- Technical and Visual Support: installation of sound equipment, setup of branded banners for photo zones, as well as complete photo and video documentation of the negotiation process.
- Language and Information Support: integration of simultaneous interpretation systems, preparation of printed materials, production of branded merchandise, and preliminary translation of working documents.
Project Features and Challenges
Cooperation with diplomatic representatives and government officials required strict time management and high accuracy in information recording:
- Specific Documentation Requirements: in addition to standard simultaneous interpretation, a special client request was the provision of bilingual event transcription. This was essential for accurate documentation of agreements between government representatives, business stakeholders, and international partners, followed by the preparation of official reports.
- Advance Technical Setup: due to strict security requirements and time constraints, all technical installations, interpretation booths, and branded elements were prepared on the day before the event. This allowed the team to eliminate potential technical delays during the event itself.
- Stakeholder Coordination: the presence of a dedicated project manager ensured continuous communication between delegates’ protocol teams, the technical crew, and hotel staff, allowing the client to fully focus on moderating the discussion.
The Result
The discussion panel was held in strict accordance with the approved schedule. The client successfully achieved the event’s objectives: participants developed a shared vision of the key challenges facing the transport sector and reached preliminary agreements on further cooperation directions. The client highlighted the high quality of service, accuracy in fulfilling special requests, and the agency’s systematic approach to supporting international-level projects.
