The Task

The agency was tasked with the comprehensive organization of an extended safety training program covering «First Aid», «Psychological First Aid», and «Mine Safety» within the framework of the “SYLA” project («Strengthening Emergency Preparedness and the Capacity of Local Actors for Early Response»).

The client’s main objective was to develop sustainable practical skills among participants to improve safety levels in communities, enhance cooperation with the State Emergency Service of Ukraine (DSNS), and establish a basic culture of emergency response. The target audience consisted of representatives of the education sector from frontline and de-occupied regions of Ukraine: Sumy, Kharkiv, Zaporizhzhia, and Mykolaiv regions. The agency was required to ensure a complete end-to-end operational cycle for a large group of participants throughout five working days.

Event Organization

For the implementation of the large-scale five-day intensive training program, the «Favor Park Hotel» in Kyiv was selected. Its infrastructure allowed all processes to be centralized at a single venue. The agency’s organizational solutions included:

  1. Conference Service: preparation and technical setup of training rooms for extended theoretical sessions and practical first aid exercises.
  2. Participant Accommodation: reservation of hotel rooms and efficient accommodation arrangements for 95 participants, taking into account their extended stay at the venue.
  3. Logistics and Transfers: development of optimal travel routes, ticket procurement, and coordination of transportation for participants and trainers from different regions of Ukraine to Kyiv and directly to the hotel.
  4. Catering Administration: development and coordination of a comprehensive menu (breakfasts, lunches, dinners, coffee breaks) designed to support the high intensity of daily training sessions.

Project Features and Challenges

The main feature of the project was the large-scale interregional coordination and the need to maintain a precise schedule throughout all five days of the program. Representatives of the education sector from four different regions arrived according to individual schedules, requiring the agency to monitor transport connections and resolve emerging issues in real time.

Continuous on-site support from the project manager enabled quick responses to trainers’ operational requests related to the specifics of the sessions, adjustments to catering schedules based on the duration of practical simulations, and ongoing control of the overall comfort of each delegate.

The Result

The client’s technical requirements were fully implemented without any organizational or logistical disruptions. The five-day intensive enabled representatives of the education sector from the Sumy, Kharkiv, Zaporizhzhia, and Mykolaiv regions to successfully acquire essential knowledge, exchange practical experience in working with children in crisis situations, and establish direct connections between representatives of the Ukrainian Red Cross Society (URCS) and local communities. The client highlighted the clarity of process management and the agency’s reliability in delivering large-scale long-term projects.
