The team was tasked with providing full logistical support for the participation of delegations in the Ukraine Recovery Conference 2026 (URC 2026), held in Gdansk, Poland. The event serves as one of the key international platforms dedicated to the recovery of Ukraine, bringing together government officials, international organizations, financial institutions, and business representatives from dozens of countries.
The project involved organizing the trip for public sector representatives, international partners, and members of the official delegation. The requirements included ensuring timely arrival at all conference events, comfortable accommodation, transport support, and coordination of participants throughout their entire stay.
Project Features and Challenges
The primary challenge was managing logistics during a large-scale international event, while the city simultaneously hosted thousands of delegates, officials, and representatives of international organizations. Due to the heavy load on transport infrastructure and high demand for hotels, all logistical solutions required detailed planning well before the conference began.
Additional complexity arose from numerous changes in the official program. Some meetings were confirmed right on the eve or during the conference itself. Consequently, the team promptly adjusted transfer schedules, vehicle pick-up times, and travel routes between conference venues.Special attention was paid to coordinating participants arriving in Gdansk from various European countries. Despite different arrival times, it was necessary to synchronize accommodation, event registration, and ensure all participants were ready for the start of the official program.
Result
As a result, full logistical support for the delegation during their participation in the Ukraine Recovery Conference 2026 was successfully delivered. International travel, accommodation, transport services, coordination of participants, and rapid adaptation to all changes in the event program were fully organized.
Thanks to continuous timing monitoring and close cooperation with the conference organizers, all participants attended scheduled meetings, panel discussions, and official events on time. The project was executed in compliance with international protocol requirements and demonstrated the efficiency of comprehensive logistics management during large-scale international conferences.
