The Task
The agency was tasked with the large-scale “turnkey” management of an international conference with high requirements for protocol and security. A key feature of the project was the participation of high-ranking officials, diplomats, and international leaders.

Event organization
All contractors worked under the unified centralized management of the agency’s project managers. Organizational solutions covered several key areas:
- Infrastructure and logistics: accommodation arrangements for regional and international delegates, development of transportation routes, procurement of printed materials, and 24/7 project management support.
- Technical and media support: integration of sound and lighting systems, professional photography services, and setup of a stable communication channel for two-way broadcasting (connection of online speakers and access for remote viewers).
- Catering: deployment and management of two independent catering zones — inside the venue and on the open terrace with panoramic views of Kyiv and the Dnipro River — to optimize guest flows during breaks.
Project features and challenges
The scale of the event and the status of the guests required non-standard solutions within a strict timeline:
- Overnight setup: Installation of sound, lighting, and broadcasting equipment, as well as the construction of photo zones, banners, and interactive areas, was carried out exclusively overnight before the event. Efficient allocation of human resources allowed the venue preparation to be completed on time.
- Ensuring accessibility: Special attention was given to adapting the Parkovy Kyiv International Convention Center for guests with limited mobility. The agency team arranged additional ramps, configured an accessible elevator, selected appropriate furniture for the reception areas, and coordinated volunteer support for participants requiring assistance.
- Security protocol and budget control: The presence of UN representatives and diplomatic delegations required the implementation of additional security protocols without disrupting the overall event schedule. All crisis-management measures were delivered within the client’s defined financial limits.
The Result
The IV International Conference was successfully delivered in full accordance with the planned program, without any logistical or technical incidents. The agency successfully synchronized the work of more than ten contractors, ensuring comfortable conditions for 600 participants and a high level of security for diplomatic missions.
