The Task
The agency was tasked with the comprehensive turnkey organization of the specialized conference “Environmental Protection Through the Lens of International Humanitarian Law.” The client’s main requirement was full operational and technical support of the event. The project required seamless coordination of logistical processes (delegates’ accommodation and catering) with the preparation of the conference venue, ensuring reliable equipment performance and uninterrupted adherence to the event schedule.
Event Organization
To implement the project, the agency developed and introduced an integrated solution covering several functional areas:
- Logistics and Conference Services: coordination of accommodation for 85 participants at the hotel, management of the catering area, and administration of coffee breaks and lunch schedules.
- Technical Infrastructure: preparation of the conference hall, installation of sound equipment, stage setup, and installation of an LED screen for high-quality visualization of presentation materials.
- Language and Information Support: organization of working stations for simultaneous interpretation, provision of equipment for participants, and preparation of printed conference materials.
- Branding and Media Support: production and installation of a large branded banner, as well as professional photo and video coverage throughout the entire working day.
Project Features and Challenges
The specifics of the event required a high level of operational efficiency and flexibility from the team due to several organizational challenges:
- Limited Setup Timeframe: installation of the stage, setup of the technically complex LED screen, and placement of branded elements were completed within a very limited timeframe on the day before the event. This required detailed hourly planning of the technical team’s workflow.
- Continuous Coordination: on the day of the forum, a dedicated project manager was present at the venue to oversee all contractors, coordinate with the hotel’s technical services, and promptly respond to speakers’ requests.
- Expanded On-Site Responsibilities: in addition to standard operational supervision, the agency’s manager conducted interviews with key speakers directly at the venue. This optimized the work of the production team and allowed the collection of the necessary materials for the final video content without involving additional personnel.
The Result
The conference was delivered in strict accordance with the approved schedule. Thanks to the coordinated work of the team and reliable contractors, the integration of technical solutions (including simultaneous interpretation) was completed without delays. The client highlighted the high quality of the provided services, the efficiency of operational management, and the professional approach at every stage of event preparation and execution.
