The Task

The client’s main objective was to prepare personnel for the specifics of working in high-risk environments, particularly in frontline regions. The «Hostile Environment Awareness Training» (HEAT) program involved intensive training in response algorithms during shelling, mine safety procedures, as well as practical development of first aid and emergency psychological support skills.

The agency was tasked with providing full operational support for the turnkey project: from step-by-step logistics and participant accommodation to the administration of specialized three-meal catering and coordination with partners responsible for the practical simulation exercises.

Event Organization

To implement the project, a comprehensive logistical solution was introduced aimed at minimizing the organizational burden on participants:

  1. Accommodation and Infrastructure: centralized accommodation for the group was organized at the «Premier Hotel Rus», ensuring that morning briefings and departures followed the planned schedule without delays.
  2. Catering Administration: a complete meal plan was developed and coordinated, including breakfasts, lunches, and dinners for participants, as well as regular coffee breaks during theoretical training sessions in the conference rooms.
  3. Transportation Support: a clear transfer logistics system was developed. Comfortable transportation ensured the daily movement of participants from the hotel to remote locations where field training activities took place and back.

The key challenge of the project was the high level of emotional and physical strain on participants during field scenarios. The specifics of HEAT training require organizers to carefully calculate timing, as any shift in the theoretical session schedule directly affects the execution of practical simulations.

The agency’s expertise enabled seamless coordination between hotel services, logistics contractors, and certified instructors. Thanks to detailed pre-event planning and continuous on-site management, the third day — the final stage of practical simulations at the field location — was conducted strictly according to the schedule, without any organizational or transportation delays.

The Result

The project was completed without deviations from the initial plan. Participants successfully practiced life-saving skills in conditions максимально close to real-life scenarios and strengthened internal team collaboration. The client positively evaluated the clarity of subcontractor coordination, the overall logic of the established processes, and the agency’s reliability, confirming their intention to conduct a similar HEAT training session at the end of the current month.
