The Task
The agency was tasked with the comprehensive “turnkey” organization of a two-day workshop on money transfers and community initiatives. The target audience of the event consisted of representatives of international organizations and development partners.
The main challenge of the project was the need to deploy complex conference and logistics infrastructure at the client’s own office premises. The agency was responsible for the full coordination of all processes: from selecting an optimal hotel within walking distance of the venue and arranging interregional logistics to organizing on-site catering and providing technical support for working sessions with simultaneous interpretation integration.
Organization of the event
To implement the project, the agency team introduced a comprehensive set of operational solutions:
- Interregional logistics: Individual selection, coordination, and purchase of bus and railway tickets were arranged for delegates traveling from other regions, taking into account their personal arrival schedules.
- Accommodation: The «Ibis Kyiv City Center» hotel was selected for comfortable accommodation, as its location met the requirements for convenient access to the working venue.
- On-site catering: Regular meals for participants were organized through coordination with a food delivery service directly to the client’s office.
- Technical and information support: Simultaneous interpretation equipment was installed, stable two-way video streaming was configured, and sets of printed materials were prepared and produced.
Project features and challenges
The implementation of the event at the client’s premises required strict time management and non-standard logistical approaches:
- Rapid setup and space adaptation: The venue preparation took place overnight before the event under extremely limited time constraints due to another event being held at the same location. The technical team quickly deployed communication systems, interpretation booths, and a media complex. At the same time, the logistics team arranged the delivery of furniture and equipment to create a fully functional standalone catering area within the office premises.
- Operational support and urgent production: Final confirmation of the delegate lists was received immediately before the event, which required the production of personalized badges within a very short timeframe. During the event days, the dedicated manager continuously monitored suppliers, coordinated the work of the streaming technical team, and managed the timely delivery of hot catering during breaks.
The Result
The workshop was successfully delivered in full accordance with the program timeline. Thanks to the proper selection of the partner hotel and well-coordinated transport logistics, 70 participants received comfortable conditions for communication. The client highlighted the accuracy of on-site service administration, the stability of technical streaming lines, and the prompt response to ongoing requests at the venue.
