Organization of a Multi-Day Training on Preventing Gender-Based Violence

For the implementation of the project, the agency engaged the modern conference venue «Leonardo Hall» with an area of 300 m², which allowed for the necessary spacing and ergonomic conditions for extended training sessions. The organizational solutions included:

1. Accommodation: booking single standard rooms with included breakfasts at the «Ibis» hotel to ensure comfortable rest for regional participants.
2. Conference Service: full venue rental, furniture layout adaptation for training sessions, and provision of participants with the necessary stationery and printed materials.
3. Language Support: engagement of a professional linguist to provide consecutive interpretation throughout all four days of the event, ensuring effective communication with international delegates.
4. Catering Administration: organization of daily set lunches and two daily coffee breaks with a selection of desserts and snacks, with menus fully adapted to the individual dietary requirements of each guest.

Project Features and Challenges

The agency’s expertise was demonstrated through its ability to quickly adapt event parameters to dynamic client requests directly during the implementation process:

• Dynamic Group Management: the number of participants continued to change immediately before the start and during the initial stages of the training. The agency’s project manager adjusted order volumes, seating arrangements, and technical setup of workstations in real time. All changes were implemented seamlessly without creating organizational disruptions for the audience.
• Catering Schedule Flexibility: on the final day of the training, the client changed the program schedule — the event ended earlier than originally planned (at 3:00 PM) to allow regional specialists to catch their transportation. Several hours before the deadline, the agency reorganized the catering schedule: two coffee breaks were combined into one, and the restaurant promptly reformatted meal service into takeaway containers, allowing participants to have lunch directly while traveling.
